Office Manager and Executive Assistant

The Description

The Office Manager and Executive Assistant will report directly to the CEO with dotted line reporting to the Director of Finance and VP Marketing. The candidate will have full office management responsibilities as well as administrative responsibilities in support of the CEO and select other VP level employees.

The Duties

  • Perform all office management duties including:

    • Upkeep and organization of entire office, including certain critical areas such as media lab, war rooms, supply room, conference rooms and kitchen

    • Upkeep of office, artistic installations and design elements to a level that reflects the Company's design-minded sensibilities and principles

    • Recurring daily, weekly and monthly office management duties and correspondences with office management related vendors including logistics companies, building supervisors, painters, cleaners, electricians, IT support, furniture designers, artists and other groups

    • Maintaining a clean, organized and outwardly design-focused office environment, which fosters creativity, collaboration and passion for our work

  • Executive Assistant and other support duties including:
    • Scheduling interview processes for managers and candidates

    • Assisting the CEO with meeting planning and presentation preparation

    • Event planning support (Global meetings, tradeshows, distributor meetings, happy hours, etc.)

    • Running reports from our Accounting and ERP systems for CEO or VP level mangers

    • New account or vendor set-up clerical support for VP level managers

    • Other general support for CEO

  • HR and finance support duties including:
    • New hire HR administrative duties

    • Potential for part-time junior bookkeeping or clerical duties

  • Other duties including:
    • Customer service back-up during rare occasions

    • Anything else that is going on at Joby including events, marketing initiatives, tradeshows and other activities. We are a fast-paced Company, that is consistently embarking on new types of marketing and product initiatives, which often require the support of the entire organization.

The Qualifications

  • 2-5 years of office management, administrative or related work

  • Bachelor's or equivalent degree

  • Highly organized individual

  • Background or demonstrated passion or education in interior design, furniture design, architecture, product design, graphic design or fine arts

  • Familiarity with Outlook, Excel and PowerPoint

  • Excellent written and oral communication skills

  • Entrepreneurial and opportunistic drive

  • Passion for photography, film-making, graphic design, product design or industrial design preferred but not required. We are a team of diverse creative talents.

Opportunities for professional development

Depending on the qualifications and performance of the candidate, this role could eventually evolve into a more senior position assisting the CEO directly (Full Time) or within the Finance, HR or Marketing departments.

Business Development Manager, Japan

The Role:

The Business Development Manager for Japan will report directly to the VP International Sales in Geneva and work closely with his or her peer Business Development Managers and members of the Senior Management Team. Joby is looking for an entrepreneurial self-starter to grow sales conversion in Japan; through collaboration with our exclusive distributor for our Gorillapod product range; by acquiring the right partners in Japan to distribute our Gorillatorch and Gorillamobile product range; and by growing all future product lines. The Business Development Manager is also responsible for gaining maximum entry and sell-through in the major sales outlets in the following sales channels: Consumer Electronics, Do It Yourself, Mobile Carrier / Mobile Phone accessory, Outdoor/Sporting and Professional markets.

Key Responsibilities:

  • Map the Japanese market and create a plan on how to maximize Joby’s sales potential.
  • Deepen the relationship with our existing distributor and guarantee maximum sell through with all of our Gorillapod products in the desired sales channels.
  • Monitor inventory and purchasing planning of all Japanese sales channels
  • Find new distributors for our new product lines with the potential to become the new exclusive distributors for that specific product line. Joby is interested in long lasting relationships, filtering and finding the “right” distributors is of key importance.
  • Implement a process where the distributors buy and sell all of the products in a specific product family.
  • Visit key retailers, either by yourself or with the distributors and keep tab on our sell through rate per store.
  • Ensure maximum visibility of our products in retail.
  • Maintain a steady network in the Japanese market and look for strategic partners to join commercial forces with (bundling, co-selling).
  • Maintain MSRP’s in the Japanese market in cooperation with the distributor and the retailers.
  • Obtain and maintain CXO contacts with the big retailers.
  • Interact with local Japanese PR and other marketing contacts in conjunction with Joby’s global marketing team.
  • Represent Joby at trade, PR and other marketing events and sponsorships established by yourself, with our partners or by Joby’s global marketing team.
  • Represent Joby and its products on all possible platforms to maximize the business potential.

Qualifications:

  • You live in Japan, preferably Tokyo.
  • You are fluent in Japanese and English.
  • 5-7 years of business development experience; ideal candidate will have gained his/her sales experience at a branded consumer products or consumer electronics company, and is experienced in developing and executing sales plans.
  • Excellent relationship builder with strong collaboration skills – will need to build deep working relationships across a range of partners.
  • Exceptional written and verbal communication skills mandatory; strong business understanding required.
  • Ability to evaluate programs at a strategic level while also able to roll up his/ her sleeves and dig into the day-to-day management of the business to find optimization opportunities big and small.
  • Proven track record to meet and over exceed sales objectives.
  • Ability to analyze and present conclusions on business performance.
  • Strong project management and problem-solving skills.
  • Passionate thinker about consumer behavior.
  • Startup or small-company experience is a strong plus.
